# How to Track HVAC Equipment History for Every Customer
There is a moment that tells you whether a contractor's records work.
A customer calls. Within ten seconds, can someone say what make and model their furnace is, how old it is, whether it is still under warranty, what has been replaced on it, and what was recommended last time that they declined?
For most companies the answer is no — not because nobody wrote it down, but because it was written on a job sheet, and job sheets are filed by date, not by machine.
Why equipment, not customers, is the right object
The instinct is to attach everything to the customer. It breaks immediately.
A landlord owns four rentals. Each has a furnace and an AC. That is eight systems, eight histories, eight warranty positions and eight replacement timelines attached to one person. Store them against the customer and you get an undifferentiated list where nobody can tell which furnace had the inducer replaced.
The structure that works:
Customer → Property → Equipment → Service visits
Every service visit attaches to a specific unit. The history then reads per machine, which is how a technician thinks about it and how a replacement conversation has to be framed.
The fields

The three that matter most
Serial number. It is the only field a technician standing at a nameplate reliably has. If your system cannot resolve a serial to a customer and a history, you are missing the lookup field staff need most.
Installation date. Everything downstream depends on it — age, warranty position, whether a repair is worth doing, whether a replacement conversation is reasonable. An approximate year beats a blank.
Condition. Three seconds of a technician's time per visit, and it is the only input that reflects someone actually looking at the machine. No calculation substitutes for it.

Read that bottom block and the replacement conversation writes itself — without anyone having sold anything. Three repairs and $1,464 into a fifteen-year-old system that is out of warranty and assessed as poor is a set of facts, and facts are what a customer can make a decision on.

Building the database without stopping work
The mistake is trying to back-fill everything before going live. It never finishes.
Capture on the next visit instead. Every technician already stands in front of every unit they service. Photograph the nameplate, record make, model, serial and an approximate install date, and give the condition a one-word assessment. Ninety seconds.
Within one maintenance season most of your active customers are captured — the ones you actually see, which are the ones that matter.
Three things that make it stick:
Make it required to close the job. Not a nice-to-have field; a field the work order will not close without.
Let the photograph do the typing. A nameplate photo attached to the record is worth more than a rushed transcription, and it settles arguments later about what was actually installed.
Accept approximate. "About 2011" is enormously more useful than blank. Perfect data that nobody enters loses to rough data that everybody does.
What it unlocks
Better first visits. A technician who knows the make, model, age and last three repairs before arriving brings the right parts.
Warranty claims you actually make. Parts warranties get abandoned because nobody can find the serial or the install date. That is money.
Honest replacement conversations. Age, repair count and repair spend on one screen, from your own records.
A recall you can act on. When a manufacturer issues one, a serial-searchable database tells you in a minute which of your customers is affected. Without it, you find out when one fails.
