The fields a complete HVAC work order needs, why each one prevents a dispute or a callback, and a filled-in example you can copy.

# HVAC Work Order: What Should Be Included?

A work order does three jobs. It tells the technician what they are walking into, it records what actually happened, and it becomes the document you invoice and defend against.

Most work orders are built for the first job and treated as a formality for the other two. That is fine until a customer disputes a charge, or a warranty claim needs the install date, or the next technician on that unit has no idea what was done last time.

The three that carry the most weight

Diagnosis and work performed are different fields

Collapsing them is the most common work-order failure.

"Replaced capacitor" is work performed. It tells you nothing about why, which means the next technician learns nothing and the customer cannot see what they bought.

Diagnosis: Dual run capacitor failed — reading 5 µF on the herm side against a 45+5 rating. Compressor and condenser fan motor both test within spec; amp draw normal on both.

Work performed: Replaced dual run capacitor with matching 45+5 µF unit. Verified compressor and fan start-up, checked refrigerant charge against superheat, confirmed 18°F split at the return.

That takes a technician ninety seconds on a phone and it settles three future arguments.

Recommendations not carried out

The field almost nobody has, and it does two things at once.

It protects you: if you told the customer the heat exchanger was cracked and they declined the repair, that needs to be on a document they signed.

It is also the cleanest source of future work you have. A list of recommended-but-declined items, with dates, is a follow-up list that already has a reason to call.

The signature

A signature, a typed name, a click, an emailed "go ahead" — anything retrievable. A verbal yes at the kerbside is not a document, and the time you need it will be the time the customer remembers the conversation differently.

Getting it filled in every time

Seventeen fields is a lot to complete on a phone in a driveway at five o'clock, which is why work orders written from scratch are always missing four of them.

What makes it reliable is not discipline, it is the form: equipment populated from the customer record rather than retyped, the problem carried over from the booking, parts picked from a price book rather than remembered, labour hours defaulting from the appointment, and the document refusing to close without a diagnosis and a signature.

Where the work order goes next

A closed work order should become three things without anyone retyping it: an invoice, a line in the customer's service history, and — where work was recommended and declined — a follow-up task with a date.
