# How to Create an HVAC Service Report
A service report is the document the customer keeps.
It is not the work order. The work order is your internal record of the visit and contains things a customer has no use for — part costs, labour margin, notes for the office. The service report is the customer-facing version: what was wrong, what was done, what state their system is in, and what should happen next.
Most contractors produce one of these two documents. The companies that renew maintenance agreements at a high rate produce both.

Both are built from the same visit. The difference is what gets filtered out.

The one that decides whether the report is worth producing
What was checked.
On a maintenance visit a customer sees a technician arrive, disappear for fifty minutes and leave. They have no idea what happened. A report saying "annual maintenance completed — system OK" confirms their suspicion that not much did.
A report listing twelve items, each with a result, changes that. It is the single strongest argument at renewal, and it costs nothing extra if the checklist was completed digitally in the first place.

WHAT WE FOUND
The system is in good order for its age and is cooling
correctly — a 19°F temperature split is within the normal
range.
Two things worth knowing. The run capacitor is reading
38.6 µF against its 45 µF rating. That is still within
tolerance and it is working, but it has come down from
43.1 µF at last year's visit, so it is wearing. It will
likely need replacing within the next two seasons.
The condenser coil outside has a build-up of cottonwood and
dust between the fins. We rinsed what we could reach; a
chemical clean would restore it properly and reduce how hard
the system works in July.
WHAT WE DID
Full seasonal service to our 12-point checklist. Replaced the
1" filter, rinsed the condenser coil, cleared and treated the
condensate drain, checked all electrical connections and
verified refrigerant pressures and temperature split.

That report does something a line saying "maintenance completed" cannot. The customer can see twelve things were checked, that two were flagged honestly, that one needs doing and one does not, and that the capacitor reading is being tracked year on year.
It is also a quote, without reading like one.
Writing the findings
Three rules.
Plain language, with the number. "38.6 µF against a 45 µF rating" is specific enough to be credible and plain enough to be understood. "Cap is weak" is neither.
Say what is fine, not only what is wrong. A report that lists only problems reads as a sales document. One that says the system is in good order and flags two items reads as an assessment — and the two items are believed.
Separate urgency from importance. "Monitor" is a real recommendation. A contractor who marks everything urgent gets ignored on the thing that actually is.
Getting it produced
The reason service reports do not get sent is that writing one by hand after a visit takes twenty minutes nobody has.
They get produced when they are a by-product. If the checklist was completed on a phone with results and notes, and the work performed and recommendation were recorded on site, the report is a rendering of data that already exists — not a writing task.
