# Digital HVAC Maintenance Checklist for Technicians
A maintenance checklist has two purposes, and most only achieve the first.
The first is making sure nothing gets skipped. The second — the one that produces revenue — is recording what was found on the items that passed. A checklist that only says done or not done throws that away, and it is exactly the information that becomes next year's repair.
The four-result scale
This is the single most important design decision in a maintenance checklist.

"Needs attention" is the one that earns the checklist its place. It is how a technician records a capacitor reading near the low end of tolerance, a condenser coil that could use a chemical clean, or a filter rack that does not seal properly. None of those is a fault today. All of them are a conversation, and two of them are a quote.
A pass/fail checklist forces the technician to call those a pass, and the information disappears.
N/A matters too. A mini split has no heat exchanger to inspect. Without an N/A option the technician either marks it passed — which is a lie — or leaves it blank, which is indistinguishable from forgetting.
Every item should also take a note. "Needs attention" without a note is a flag nobody can act on.

A heat pump needs checking in both modes. A unit that cools perfectly and fails to change over is a system that works in September and does not in December.
Mini split maintenance checklist

Mini splits fail differently from ducted systems. The blower wheel and the drain account for a large share of the complaints, and a "maintenance visit" that does not deep-clean the wheel has not really been one.
Paper versus digital
Paper works. These are the specific things it cannot do.

That last row is where the money is. A digital checklist ends a maintenance visit with a specific list of flagged items and notes — which is a quotable list rather than a memory.
What good completion looks like

Reading 38.6 µF against a 45/5 rating. Within tolerance but down from 43.1 at the last visit. Worth watching; likely a replacement within two seasons.
The second takes about twenty seconds. It gives the customer a reason to trust the visit, the next technician a starting point, and the office a follow-up worth making.
Making it get completed
The reason checklists do not get filled in properly is almost always the interface, not the technician.
- Four taps per item, not typing. Pass / attention / failed / N/A as buttons.
- Notes optional but one tap away.
- Progress visible. "7 of 12" tells the technician what is left.
- A bulk action for the rest. After working through the items that need thought, passing the remainder in one tap is realistic rather than lazy.
- Required before closing. The checklist being incomplete should stop the job closing — otherwise it is optional, and optional documentation is the documentation that does not happen.
