# HVAC Equipment History: What Contractors Should Track
Most HVAC companies file service records under the customer's name. It works until the moment it matters.
A customer with a furnace and an AC generates a folder full of visits, and "serviced the system, March 2024" cannot be resolved into which system. Multiply that across ten years and the folder contains a great deal of paper and very little information.
The fix is one decision: attach the record to the machine, not the person.
Why the serial number is the anchor
A serial number is the only identifier that is unique, permanent and physically present on the equipment.
- Customers move house. The system stays.
- Properties change owner. The system stays.
- A customer name is ambiguous across two systems. A serial number is not.
- A technician standing in front of the unit can read it.
Once records hang off a serial number, questions become answerable that were not before:
This condenser has had four repairs since 2023 totalling $2,317, is nineteen years old, and runs R-22.
Nobody can produce that sentence from a folder filed by customer name. And that sentence is the entire replacement conversation.
What to record about the equipment itself
Recorded once, when the system first enters your records.

The two most valuable and least recorded
Refrigerant. An R-22 system is a different object from an R-410A one — the refrigerant is no longer produced, a leak is a far more serious event, and the replacement argument is materially stronger. Recording it takes two seconds and changes what you can say.
Location. It reads as trivia until a technician arrives without a ladder for an attic air handler.
What to record about each visit

Readings, over time
A single capacitor reading is a diagnosis. The same reading across three years is a trend:

That table is a genuinely different conversation from "the capacitor failed". It is only possible if readings are recorded as values in fields rather than buried in a paragraph.
Declined work
When a customer says no, that is information:
Sep 2024 — Recommended condenser coil chemical clean, $340. Declined; customer said they would consider it in spring.
Eighteen months later, when the system is struggling, that line changes the conversation from a pitch into a follow-up. Almost nobody records it.

What it becomes
Equipment history is not documentation for its own sake. Four things run on it.
Fewer callbacks. A technician who can see the part fitted last year does not fit it again, and arrives with the right one.
Better maintenance. "Capacitor was reading low at the last visit" turns a routine service into a targeted one.
Warranty claims that get paid. Serial number, install date and the failed part, in one place.
Replacement conversations with evidence. Age against typical service life, repairs in the last three years, spend, refrigerant type. Not a pitch — a summary of their own record.
That last one is worth being careful about. A system's record can tell you the conversation is worth having. It cannot tell you replacing is the better financial decision — that depends on how long the customer intends to stay, what they can spend, what a new system would cost to run and what rebates apply, none of which is in your database.

Where to start
You do not need to backfill ten years.
- From today, record the serial number on every visit. One field. Everything else can be reconstructed later; this cannot.
- Add the equipment record the first time you touch a system. Five minutes, once.
- Record readings as values, not prose.
- Record declined work.
In eighteen months you will have something no competitor walking into that house can match.
