What Should an HVAC Work Order Include?

Every section an HVAC work order needs, why each one is there, a complete filled-in example and a blank template you can copy.

# What Should an HVAC Work Order Include?

A work order has one job: to be the thing that survives the visit.

The technician leaves. The customer forgets. Three months later somebody has a question, and the work order is the only witness. If it cannot answer, it did not do its job — and the two fields most often missing are the two that matter most.

The two most often missing

The serial number. Without it, a work order attaches to a person rather than a machine. On a property with a furnace and an AC, "serviced the HVAC" cannot be resolved into which. Every equipment history worth having is built on serial numbers, and every one that never got built was missing this field.

The readings. "Capacitor bad" is an assertion. "Capacitor reading 6.1 µF against a 45/5 rating" is a finding. The second one survives a customer asking why they were charged, a manufacturer asking why a part was replaced under warranty, and a technician a year later trying to work out whether anything has changed.

Read the recommendation again. It is specific, it is evidenced, and it records what the customer actually said. That paragraph is worth more than the rest of the document combined, because it is the only part that produces another job.

Where paper stops working

A paper work order does everything above perfectly well. What it cannot do:

  • Join up. Three visits to the same serial number stay three sheets of paper in three folders.
  • Arrive pre-filled. The technician writes the customer, address and equipment details out by hand, every time.
  • Reach the office before the technician does. The invoice waits for the van.
  • Be searched. "What did we do to this unit in 2024?" means opening a filing cabinet.
  • Enforce itself. A field left blank on paper is blank forever. A required field is not.

That last one is the quiet difference. The serial number gets skipped on paper because skipping it costs nothing at the time.


The test

Hand the work order to someone who was not there, and who cannot ask you anything.

Can they tell what was wrong, what was done, what proves it, what it cost, and what should happen next?
