# HVAC Field Service Software vs CRM: What's the Difference?
The short version:
A CRM remembers the customer between visits.
Field service software runs the visit itself.
They sound adjacent enough that plenty of contractors assume one covers the other. It does not, and the gap shows up in a specific way: the office knows everything about the customer and the technician standing at their door knows almost nothing.

That last row is the real distinction. A CRM mostly stores information. Field service software mostly creates it.
The overlap, honestly
They both touch customer and equipment records, and that is where the confusion comes from.
The difference is direction. A CRM is the system of record for what a customer owns — it is where a new furnace gets added when it is installed, where the address is corrected, where the phone number is updated. Field service reads that record at the door and writes back what happened.
In a well-connected setup:
CRM ──── customer, property, equipment ────→ Field service
CRM ←─── visit, readings, parts, findings ─── Field service
If you only have one of them, you are doing one half of that manually.
What goes wrong with only a CRM
The office is well informed and the van is not.
A technician arrives knowing the address and the complaint. They do not know the system is a heat pump rather than an AC, that it is fourteen years old, that the reversing valve was replaced two winters ago, or that the customer has a maintenance agreement entitling them to a discount.
Every one of those gaps costs something:
- A part gets replaced that was replaced last year
- A maintenance visit is documented as "all OK", which helps nobody
- A discount is missed, and the customer notices on the invoice
- The replacement conversation never happens, because nobody could see the history
And afterwards the technician's findings reach the CRM only if somebody retypes them from a paper ticket. Most of what happened on site never makes it, which is why so many CRM equipment records read "AC — Carrier" and nothing else.
What goes wrong with only field service software
Jobs get done well and the relationship is invisible.
Each visit is documented properly. But nothing connects them, so nobody can answer:
- How much has this customer spent with us?
- Which customers have systems over fifteen years old?
- Who declined a quote last year that would be worth revisiting?
- Which customers have no maintenance agreement?
- Who have we not seen in two years?
Those are all CRM questions, and they are where the next job comes from. A company with excellent field documentation and no CRM does good work and waits for the phone to ring.
A worked example
Same customer, three different setups.
Neither. The technician arrives, asks the customer what happened last time, and takes their word for it. The customer misremembers. A capacitor gets replaced that was replaced eighteen months ago under a different technician. Nobody finds out.
CRM only. The office can see a 2011 Carrier condenser on the record. The technician cannot, because the record is on a desktop in the office. They phone in, someone reads it out, and the detail that matters — three repairs in two years — is not in the record at all, because none of those visits were ever written back.
Both, connected. The technician opens the job before knocking:

No maintenance agreement
Now the visit is different. They bring the right part. The diagnosis lands in a record the next person can read. And the replacement conversation has evidence behind it rather than being a pitch.
Do you need both?
Usually, eventually. Rarely at the same time.
Start with the CRM if you are losing track of customers — you cannot say who you have not seen in two years, equipment records are thin, and follow-up depends on somebody remembering.
Start with field service if the work is going well but the documentation is not — technicians are on paper, the office retypes everything, and what happened on site is effectively lost.
Most contractors who feel the pain feel the second one first, because it is the one that costs time every single day.
The practical route for most companies is not replacing anything. It is keeping the platform they already run and adding the layer that is missing around it.
