HVAC Maintenance Plan Profit Calculator

Maintenance plans are sold as recurring revenue, but plenty of them lose money once two visits and the admin are paid for. Check yours.

Result

Annual profit from the plan $24,900
Profit per member per year $83
Profit per member, fees only $13 Before any pull-through repair work
Margin on plan revenue 5.7%
Each member is worth $83 a year, so 300 members contribute $24,900 annually.

Churn is not modelled. If you lose a meaningful share of members each year, the acquisition cost of replacing them has to come out of this profit.

Questions

About this calculator

Why does my plan lose money on the fee alone?

Two visits at real burdened cost frequently exceed twelve months of a low monthly fee. Plans are usually justified by pull-through repair work and customer retention rather than the fee itself, which is fine, as long as it is deliberate.

What should a plan cost?

Enough that visits and admin are covered without relying on repairs. Set the fee from the cost side first, then treat pull-through as upside.

How do I reduce visit cost?

Route by neighbourhood and batch maintenance visits into slow periods. The cost is dominated by drive time and scheduling gaps, not the work itself.
