# HVAC Scheduling Software: How to Build a More Efficient Technician Schedule
A schedule is a prediction. Every appointment on it is a claim that a particular technician will be at a particular address at a particular time, and most of the ways a schedule fails are ways that prediction was never realistic in the first place.
This is about building one that survives the week.
The four things that break an HVAC schedule
Every job is the same length. Booked at two hours because that is the default, a maintenance visit finishes in fifty minutes and a changeout runs to five hours. One technician is idle by eleven; another is apologising at four.
No travel allowance. Jobs booked back to back with no gap means the second one starts late and every job after it starts later. By mid-afternoon the schedule is fiction and the office is fielding calls.
Booked to capacity. A day with no slack has no room for the emergency that is definitely coming, so the emergency displaces a booked customer instead of filling a gap.
Skills ignored at booking. The slot was free, so the job went in it. Nobody checked whether the technician who owns that slot can do the work until the morning of.
Every one of those is a scheduling decision, not a dispatch failure — which is why fixing dispatch alone rarely fixes a chaotic week.
Start from job duration by type
You cannot schedule what you have not measured. The first useful thing any scheduling system does is hold a realistic default duration per service type, and the second is capture the actual so the default improves.
A starting structure:

Use your own numbers, not these. Pull your last twenty jobs of a type and look at the spread. If your average is 100 minutes and you keep booking 60, you have a forty-minute hole in every one of those appointments, compounding across the day.

Build the travel allowance in
The most common scheduling error is treating travel as though it does not exist.
If the average trip between jobs is 26 minutes, a technician doing four jobs is driving for nearly two hours. A schedule that does not allow for that is not tight — it is wrong, and it will be wrong by about two hours every day.
Two workable approaches:
Padded durations. Add the expected travel to each job's scheduled block. Simple, and the calendar tells the truth about when someone is free.
Explicit travel blocks. Keep job durations clean and put travel in as its own block. More accurate, more work to maintain, and better if you want to report on travel separately.
Either is fine. What does not work is booking 9:00, 11:00 and 1:00 with 90-minute jobs and hoping.
Appointment windows are a trade
Customers want a narrow window. Dispatch wants a wide one. Both are right.

Most residential contractors land on a four-hour window for maintenance and repair, and firm times for installs and commercial work where someone has to be on site.
The thing that actually reduces window complaints is not narrowing the window — it is the en-route notification. A customer with a four-hour window and a text at 1:40pm saying Mike is twenty minutes away has a better experience than one with a two-hour window and silence.
Recurring maintenance is your ballast
Maintenance agreements do two things for a schedule, and the second one matters more than the revenue.
They fill known capacity in advance, so the shoulder seasons are not empty. And because they are the most moveable work you have, they are what an emergency should displace. A plan customer whose tune-up moves from Tuesday to Thursday is mildly inconvenienced. A repair customer who took a morning off work is not.
Schedule maintenance first, into the quiet parts of the week, and treat it as deliberately reschedulable. A schedule with no moveable work in it has no give.
Leave the day some slack
Booking to 100% of available hours is the most tempting scheduling mistake, because a full calendar looks like a good day.
It is not, because:
- Jobs overrun. Not occasionally — routinely, and asymmetrically. Jobs that finish early do not give the time back in usable form.
- Emergencies arrive. If there is no gap, the emergency displaces a booked customer.
- Parts runs happen. A technician who needs a part at 11am has to go and get it.
- People call in sick, and their day has to go somewhere.
What that slack should be is yours to work out. The honest way is to look at how often last month's schedule ran over and by how much, rather than picking a number off an article.

Skills belong in the schedule, not just in dispatch
If skill matching only happens when someone is dispatched, you will discover skill conflicts on the morning of the job, which is the worst possible time.
A schedule that knows which technicians hold which tickets can refuse to book a heat pump commission into a slot owned by someone who has never done one. That is a booking-time check, and it removes an entire category of morning-of scrambling.
It also makes coverage gaps visible. If exactly one technician holds the commercial ticket, that is a single point of failure every time they take leave — and that is a hiring and training question the schedule can surface long before it becomes a crisis.
Cancellations and rescheduling
Cancellations are not noise; they are a measurable rate, and the response to them is a process.
Three things worth having:
A standby list. Customers who have said they would take an earlier slot if one opens. A cancellation at 9am is a gift if someone is waiting for it and a hole if not.
A same-day rule. Who decides whether to backfill, and by when. Without one, the gap survives out of indecision.
A recorded reason. Price, timing, went with someone else, problem resolved itself. Without reasons you cannot tell whether your cancellation rate is a scheduling problem or a sales problem.
