Wedding pricing varies by region, season and day of the week by more than most couples expect, so treat the defaults as placeholders and replace them with quotes you have actually been given. A Saturday in peak season in a major metro is a different market from a Friday in the off season. Service tables are counted separately because they are the ones forgotten: cake, gifts, place cards, the bar and a buffet line all need a table and a linen, and a rental order sized purely from the seating chart arrives short. The tent sizing allows square feet per guest rather than a fixed size, since a reception with a dance floor, bar and band needs considerably more than seated dining alone. A breakage allowance is applied to the fragile items because rental companies charge for losses, and on glassware across a long reception some breakage is normal rather than exceptional.

How the calculation works

Each item at its quantity and rate, plus delivery, setup, breakdown and collection charges, plus any damage waiver or deposit. The item rates are the visible part and the logistics charges are frequently a substantial addition, particularly where the venue has access constraints or a tight setup window.

What moves the number

  • Quantities, which follow the guest count.
  • Delivery, setup, breakdown and collection charges.
  • Damage waiver or deposit.
  • Venue access and the setup window available.

Where this one goes wrong

Delivery and collection outside normal hours, or into a venue with difficult access, attracts charges that can rival the rental itself, and a venue requiring same-night breakdown is the expensive case. Ask about the window before booking rentals. Quantities also need checking against the venue's own inventory, since paying to hire chairs a venue already has is a common and avoidable duplication.

Before you quote

  • Get delivery, setup, breakdown and collection quoted explicitly.
  • Check the venue's setup and breakdown window.
  • Compare the rental list against what the venue already provides.

Questions

About this calculator

Why is the rental invoice higher than the item list?

Delivery, setup, breakdown, collection and the damage waiver. Out-of-hours delivery or a venue with difficult access can attract charges rivalling the rental itself, and a same-night breakdown requirement is the expensive case.

What is a damage waiver?

A charge that limits liability for ordinary damage, usually a percentage of the rental. It is not insurance and it typically excludes loss or significant damage, so reading what it actually covers is worth the minute it takes.

How do I avoid renting things twice?

By comparing the rental list against the venue's own inventory before ordering. Paying to hire chairs, tables or linen a venue already provides is common, and it happens because the two lists are never put side by side.

How sensitive the answer is

Holding everything else steady and changing only per table, this is what happens to total rental cost. It is worth knowing which of your inputs the answer actually hinges on, and which barely move it.

Per table ($)Total rental cost
$7 $3,581
$11 $3,671
$14 example above $3,739
$21 $3,898

Every other input is held at the example value while this one changes, which is not how a real job behaves. Treat it as a guide to which number matters most, not as five separate quotes.
