Wedding DJ Cost Calculator
Works DJ cost, where the equipment and the hours decide it.
Result
Wedding pricing varies by region, season and day of the week by more than most couples expect, so treat the defaults as placeholders and replace them with quotes you have actually been given. A Saturday in peak season in a major metro is a different market from a Friday in the off season. The add ons are where a DJ quote grows, and they are worth pricing separately rather than accepting as a bundle. Ceremony sound is a genuinely separate system in a different location and frequently a separate line, so a package covering the reception only leaves the ceremony without amplification, which is the sort of gap discovered at the rehearsal. Uplighting and dance floor effects are optional and priced accordingly. Note also whether MC duties are included, since running the announcements and the timeline is real work and some DJs charge for it while others treat it as part of the service.
Get a Free Business AuditHow the calculation works
The base fee for the contracted hours, plus overtime at the stated rate, plus any additional equipment: ceremony sound, uplighting, additional speakers for a separate space, and microphones for speeches. The base fee covers a defined setup and the additions are where quotes diverge.
What moves the number
- Contracted hours and the overtime rate.
- Whether ceremony and reception need separate sound.
- Microphones for speeches and officiant.
- Lighting, where offered as an add-on.
Where this one goes wrong
A ceremony in a different space from the reception needs its own sound setup, and that is frequently a separate charge rather than part of the base fee, which is the item most often discovered late. Specify every space that needs sound. Overtime is the other line, and it is better agreed in advance than negotiated at midnight, since a reception that is going well is exactly when nobody wants to discuss a rate.
Before you quote
- Specify every space that needs sound coverage.
- Agree the overtime rate in the contract.
- Confirm microphones for speeches are included.
Questions
About this calculator
Does a DJ quote cover the ceremony?
Not always. A ceremony in a different space needs its own sound setup and that is frequently charged separately, which is the item couples most often discover late. Specifying every space that needs sound avoids it.
What about microphones for speeches?
Usually available and not always included in the base quote. It is worth confirming, along with coverage for the officiant during the ceremony, because a speech nobody can hear is a problem that is trivially avoidable in advance.
Should overtime be agreed in advance?
Yes, in the contract. A reception that is going well is exactly when nobody wants to negotiate a rate, and agreeing it beforehand means the decision at midnight is simply whether to continue rather than what it will cost.
The formula
total = package or hourly fee + overtime + ceremony sound and lighting + travel + meal + gratuity on the service

A worked example
These are the figures the calculator opens with. Every number in the results column below is produced by the same calculation the page runs, so you can follow it through before putting your own figures in.
What goes in
| Input | Value |
|---|---|
| Priced as | A package for a set number of hours |

What comes out
| Result | Value |
|---|---|
| Total DJ cost main result | $3,010 |
| Balance still to pay | $2,610 |
| Base fee for the coverage | $1,400 |
| Overtime | $200 |
| Add ons and equipment | $1,050 |
| Gratuity | $240 |
| Effective cost per hour of coverage | $501.67 |
| Hours of coverage | 6.0 |
The DJ comes to $3,010 for 6.0 hours, which is $501.67 an hour all in. Add ons and equipment are $1,050 of that, overtime $200, and gratuity $240. With your deposit paid, $2,610 is still due.
How sensitive the answer is
Holding everything else steady and changing only package fee, this is what happens to total dj cost. It is worth knowing which of your inputs the answer actually hinges on, and which barely move it.
| Package fee ($) | Total DJ cost |
|---|---|
| $700 | $2,205 |
| $1,050 | $2,608 |
| $1,400 example above | $3,010 |
| $2,100 | $3,815 |
| $2,800 | $4,620 |
Every other input is held at the example value while this one changes, which is not how a real job behaves. Treat it as a guide to which number matters most, not as five separate quotes.
