Real Estate Agent Conversion Rate Calculator
Measures the agent funnel, where response speed is almost always the weakest stage.
Result
Splitting the funnel matters because the fix differs at each step. A poor answer rate is a staffing problem, a poor booking rate is a scripting problem, and a poor win rate is usually a price or trust problem.
Get a Free Business AuditHow the calculation works
Each stage divided by the one before: leads contacted, contacted to appointment, appointment to client, client to closing. Multiplying through gives the lead-to-closing rate with the value of what fell out. The stages have to be separated because the fixes differ entirely.
What moves the number
- Speed of first response to a lead.
- Appointment rate from contact.
- Conversion from appointment to signed client.
- Closing rate once engaged.
Where this one goes wrong
Response speed dominates the first stage, because a prospect enquiring online is frequently contacting several agents and the first substantive response wins a disproportionate share. Minutes matter more than days here, and a lead contacted the next morning has usually already spoken to someone. The later stages are skill and qualification rather than speed, and improving them is slower work than fixing the response, which is why the response is the place to start.
Before you quote
- Measure time to first response, not just whether you responded.
- Separate appointment rate from closing rate.
- Fix response speed before buying more leads.
Questions
About this calculator
Which funnel stage loses the most?
First response, almost always. A prospect enquiring online is contacting several agents, and the first substantive response wins a disproportionate share. A lead contacted the next morning has usually already spoken to someone else.
How fast does a response need to be?
Minutes rather than days in online lead response, which is uncomfortable and well evidenced. That is why response systems and coverage arrangements matter more to lead performance than lead quality for most agents.
Should I buy more leads or improve conversion?
Improve the response stage first, since it is the cheapest fix and buying more leads into a slow response simply wastes more of them. The later stages are skill and qualification, which improve more slowly.
The formula
each step = that step / the step before it; overall = transactions / enquiries

A worked example
These are the figures the calculator opens with. Every number in the results column below is produced by the same calculation the page runs, so you can follow it through before putting your own figures in.
What goes in
| Input | Value |
|---|---|
| Enquiries | 100 |
| Answered or returned | 82 |
| Booked an appointment | 55 |
| Became closed transactions | 33 |
| Average commission per transaction | $9,400 |
What comes out
| Result | Value |
|---|---|
| Enquiry to transaction main result | 33.0% |
| Answered | 82.0% |
| Answered to booked | 67.1% |
| Booked to won | 60.0% |
| Value of what fell through | $629,800 |
33.0% of enquiries become jobs. The biggest drop is worth finding: 82.0% get answered, 67.1% of those book, 60.0% of those buy. The ones that fell through were worth $629,800.
How sensitive the answer is
Holding everything else steady and changing only average commission per transaction, this is what happens to enquiry to transaction. It is worth knowing which of your inputs the answer actually hinges on, and which barely move it.
| Average commission per transaction ($) | Enquiry to transaction |
|---|---|
| $4,700 | 33.0% |
| $7,050 | 33.0% |
| $9,400 example above | 33.0% |
| $14,100 | 33.0% |
| $18,800 | 33.0% |
Every other input is held at the example value while this one changes, which is not how a real job behaves. Treat it as a guide to which number matters most, not as five separate quotes.

What is not in this number
Property figures here exclude the costs that decide whether a deal works: vacancy, maintenance, management, capital expenditure and the transaction costs at both ends. A return that looks strong before those frequently does not survive them.
