Fitness Studio Break-Even Calculator
Works the attendance needed to cover a studio's costs.
Result
Break-even, not a target. It is the point where the business stops losing money, which is a floor rather than a plan. Owner's pay only counts here if it is inside the fixed costs you entered.
Get a Free Business AuditHow the calculation works
Fixed costs divided by contribution per attendance gives the attendances needed monthly, which converts into an average attendance per class across the schedule. That per-class figure is the one that can actually be managed.
What moves the number
- Fixed costs including rent and any salaried staff.
- Instructor cost, which is fixed per class run.
- Contribution per attendance after instructor cost.
- Number of classes on the schedule.
Where this one goes wrong
The schedule itself is a cost decision, because every class added raises the fixed instructor cost and therefore the break-even, which means a studio can lower its break-even by running fewer classes rather than by finding more members. Run the calculation at different schedule sizes. Expressed as average attendance per class the target becomes visible to instructors, who are the people who can influence it.
Before you quote
- Run break-even at different schedule sizes.
- Express the target as average attendance per class.
- Count instructor cost as fixed per class run.
Questions
About this calculator
Can a studio lower its break-even?
Yes, by running fewer classes, since every class added raises the fixed instructor cost. The schedule is a cost decision as much as a service one, which is why break-even should be run at different schedule sizes.
How should the target be expressed?
As average attendance per class, because that is visible to instructors and front desk and it is something they can influence. A monthly revenue target is abstract; heads per class is checkable every session.
Is instructor cost fixed or variable?
Fixed per class run, which is the key structural fact. It does not vary with attendance, so a class that runs with four people costs the same as one with twenty, and that is what makes the schedule size so consequential.
The formula
break-even appointments = fixed costs / (average ticket per appointment x gross margin%)

A worked example
These are the figures the calculator opens with. Every number in the results column below is produced by the same calculation the page runs, so you can follow it through before putting your own figures in.
What goes in
| Input | Value |
|---|---|
| Monthly fixed costs | $14,000 |
| Average ticket per appointment | $92 |
| Gross margin per appointment | 52% |
What comes out
| Result | Value |
|---|---|
| Appointments needed per month main result | 293 |
| Revenue needed per month | $26,956 |
| Gross profit per appointment | $47.84 |
| Appointments per working day | 13.3 |
You need 293 jobs a month, about 13.3 a working day, to cover $14,000 of fixed cost. That is $26,956 of revenue before the business earns anything.
How sensitive the answer is
Holding everything else steady and changing only monthly fixed costs, this is what happens to appointments needed per month. It is worth knowing which of your inputs the answer actually hinges on, and which barely move it.
| Monthly fixed costs ($) | Appointments needed per month |
|---|---|
| $7,000 | 147 |
| $10,500 | 220 |
| $14,000 example above | 293 |
| $21,000 | 439 |
| $28,000 | 586 |
Every other input is held at the example value while this one changes, which is not how a real job behaves. Treat it as a guide to which number matters most, not as five separate quotes.
